Provides assistance and marketing administration in support of the Director of Sales and Marketing and the Sales & Marketing Team of Renaissance Insurance Group (RIG) <br />
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.<br />
Collaborates with all appropriate RIG functional teams as required.  Represents Sales & Marketing Team as a member of appropriate RIG cross-functional project teams.</p>

<p>Records and maintains accurate and timely broker and prospect records in appropriate databases including, but not limited to, initial file documentation, updating, monitoring and tracking of current producer license information and validation of required producer and/or broker certifications, recording and filing documents as required. Must be proficient in Prophet.</p>

<p>Coordinates Sales & Marketing calendars, schedules appointments, and acts as Sales & Marketing administrative contact for RIG prospects, brokers, and agents.</p>

<p>Participates in planning and coordination of trade show exhibits, RAIS Annual Meeting and other meeting planning including promotions, packaging, shipping, and staff travel plans, and travels to and participates in when necessary.</p>

<p>Coordinates prospect, training, and continuing education events including  organizing and producing meeting materials, evaluation and selection of training sites and supporting  services, engagement and scheduling of presenters, management, and seminar staff.  Coordinates and manages registrations and resolves of event day issues and/or emergencies.</p>

<p>Coordinates direct mail campaigns, surveys and other marketing communications utilizing standard mail, Constant Contact and other email vehicles.  Participates in the ordering of promotional materials and coordinating gifts for trade shows and meetings. Maintains and edits data bases as needed.</p>

<p>Orders business cards, stationary and names badges for employees.</p>

<p>	Reviews all submissions for completeness and compatibility with available markets  <br />
	Selects appropriate potential markets based upon carriers’ underwriting guidelines and carrier appetites.<br />
	Identifies and obtains all additional underwriting information to satisfy carrier submission requirements and secure quotes in within established quotation target dates<br />
	Effectively negotiate premiums, analyzes risks, communicates and collaborates with RAIS agents and carrier underwriters to provide all information required to produce timely and competitive proposals <br />
	Receives orders, binds coverage, and expeditiously orders policies, to insure all binding and policy issuance requirements are met within acceptable time frames. <br />
	Routinely maintains customer and submission tracking electronic data files to insure their accuracy and reliability at all times <br />

<p>Provide agent’s producers with a competitive edge in the marketplace by providing product, and industry expertise and support within the established target dates.</p>

<p>Directs and participates in the development, analysis and interpretation of financial data in order to appraise operating results in terms of profitability, financial performance, and budgeting to achieve fiscal soundness and operating effectiveness of the Company.  Responsible for the company’s overall accounting policy and financial reporting performance including the monthly and yearly financial close, cash management including banking relationships, establishing and monitoring internal financial controls, and managing the internal and external audit processes. </p>

<p>•	Mentors, leads and directs the Financial & Accounting Services Team in the delivery of exemplary Financial and Accounting customer service to RIG member agencies, brokers, Minuteman investors, and internal Teams.</p>

<p>•	Develops and maintains documentation of accounting policy consistent with GAAP accounting for external at both the holding company (RIG) and all operating companies levels</p>

<p>•	Maintains financial procedures and controls for fiscal operations to ensure appropriate controls, confidentiality, & security are in place at all times.</p>

<p>•	Insures timely financial statement consolidation preparation and with professionally documented supporting schedules, reports, and analyses</p>

<p>•	Presents monthly financial statements and related schedules and reports to RIG executives and appropriate outside stakeholders and parties</p>

<p>•	Administers budgeting process including development, revisions, non-financial manager budget support and communications, and budget reporting.</p>

<p>•	Maintains and continually improves a fiscal operations system that reflects and accommodates for organizational financial complexity.  Responsible for the effective use of both internal and external technology in achieving improved accuracy and productivity of the Finance & Accounting Services Team.</p>

<p>•	Performs and prepares financial analyses as needed and directed.</p>

<p>•	Establishes and maintains management level banking, consulting, leasing, and key vendor, carrier, and customer financial services and accounting relationships.</p>

<p>•	Supervises payroll processing staff to insure accurate and timely payroll processing, federal and state reporting and tax payments, and related tasks.</p>

<p>•	Reviews monthly Minuteman financial results and correlates to Renaissance Insurance monthly results.</p>

<p>•	Administers annual audit process by working closely with outside auditors to insure timely and most cost effective independent audits.</p>

<p>•	Provides RIG specific accounting related support to internal RIG managers and the RAIS Training Team</p>

Reviews applications prior to rating to confirm adequate information is provided for preliminary “ballpark” and/or final rating as appropriate. <p>Evaluates, analyzes, revises, and develops commercial lines processing systems, policies, and procedures to ensure the delivery of RAIS’ marketing and placement commitments to its agents </p>

<p>Insures required stated commercial lines marketing and placing standards are met including, but not limited to:<br />
Submission to quote turnaround times<br />
o	Hit ratios<br />
o	Pricing strategies<br />
o	Process Quality<br />
o	Efficiencies</p>

<p>Mentors and coaches Carrier Representatives to effectively negotiate premiums to ensure quotations represent the best possible price for the most appropriate policy terms and conditions for every risk submitted</p>

<p>Monitors, measures, reviews, analyzes, and generates and presents to management appropriate reports documenting commercial lines marketing and placement Balanced Score Card performance results on a weekly basis.  These include, but are not limited to:</p>

<p>o	Production standards<br />
o	Efficiency and Process Quality standards<br />
o	Customer Satisfaction (internal and external) standards<br />
o	Process Quality</p>

<p>Develops, monitors, and administers employee recognition and incentive programs to foster and reward exceeds expectations performance and job position expertise at both individual employee and team levels.</p>

<p>Conducts and documents employee performance appraisals and salary reviews within required timeframes.  </p>

<p>Develops, communicates, documents, and monitors mutually agreeable professional growth and development paths for all direct reports.  </p>

<p>Provides coaching and mentoring to support employees in achieving growth and professional goals and objectives in support of RAIS corporate goals and objectives for the delivery of exceptional commercial lines technical and marketing expertise services and support to its agents.   </p>

<p>Maintains effective backup schedules to ensure proper coverage for all service units.</p>

<p><strong>EDUCATION and/or EXPERIENCE </strong></p>

<p>To perform this job successfully, an individual must be able to perform the following competencies.  Agency Management system and related software (AMS 360 a plus). Ability to use carrier rating software and other related software. Must have solid prior knowledge of MS Office (Excel, Word, and Outlook), effective time management skills, and the ability to multi-task in a fast paced environment.  Should have a good understanding of insurance products and procedures with the ability to build strong agent and carrier relationships.
