Operations Business Analyst and Trainer

Summary

Provides leadership, collaboration, support, and training in the execution and development of the administrative management systems, processes and procedures of the Renaissance Alliance Marketing and Account Placement Team

Essential Duties and Responsibilities

• Develops personal knowledge and skill in all systems employed in the full service marketing and account placement of commercial and personal lines policies for RAIS member agencies’ including, but not limited to:

• AMS 360 and AfW Agency Management Systems
• Document management and imaging systems
• Risk Replacement Value software products
• Contact management, customer communications, and educational software (Constant Contact, IMMS Inside Track and P3 Marketing Wizard.

• Continually collaborates with RAIS management and staff to maintain consistency and accuracy in the utilization of administrative and organizational systems.

• Produces, reviews, analyzes, and distributes Marketing and Account Placement activity reports internally to management and Team members and externally to RAIS member agencies, as required

• Documents and internally publishes procedures and workflows and reviews, edits, and redistributes them as they become outdated or edited

• Trains new RAIS employees in RAIS processes, procedures, and agency management data processing responsibilities.

• Collaborates with management and staff to develop means of monitoring and measuring workflow efficiencies and customer service satisfaction to achieve or exceed the BSC objectives and targets of RAIS Marketing and Account Placement Team members

• Identifies, monitors, and reports to management the status of routine workflows with particular emphasis upon task distribution and/or reallocation of resources to address and resolve process backlogs

• Participates in providing RAIS Help Desk services to member agencies, as required or assigned

• Evaluates current and proposed systems and procedures and presents alternatives to better achieve efficiencies, process quality, and customer service, as required to continually address the ever-changing dynamics of RAIS growth

Operations Support

This position has been filled.

Summary

To work within the RAIS UW Operations support unit to effect imaging of various documents for various RIG departments; to assist with back up coverage for the reception desk; and provide processing support to CL carrier reps for policy related documents.

Essential Duties and Responsibilities
Include the following. Other duties may be assigned.

• Scanning / Imaging processes – scan, index, file and save documents for various RIG departments including RAIS, Accounting, C&P, RIA and others as assigned.

• Provide various back up tasks as needed, specifically, covering switchboard / reception desk and various incoming and outgoing mail duties, and others as assigned.

• Process issued policies and endorsements, document activity in agency management system and mail to agents.

• Other duties and special projects as assigned.

Supports designated Renaissance Alliance Account Coordinators and Carrier Representatives by performing organizational, quality control, and policy submission tasks to insure timely, accurate, and efficient delivery of RAIS Marketing and Account Placement member services.

Essential Duties and Responsibilities (others may be assigned)

• Monitors and coordinates designated internal commercial lines marketing and account placement processes in close collaboration with assigned Renaissance Alliance Account Coordinators and Carrier Representatives.

• Assists designated team members in obtaining required commercial lines submission data. Collaborates with Account Coordinators and Carrier Representatives to ensure efficiencies in data collection and appropriate timely follow-up communications with RAIS member agency personnel to meet RAIS submission timeline target dates and accuracy standards.

• Rates and quotes designated submissions within required time frames. Reviews applications prior to rating to confirm adequate information is provided for preliminary “ballpark” and/or final rating as appropriate. Reviews rating for accuracy and completeness prior to delivery to Carrier Representatives/Account Coordinators.

• Monitors receipt of supplemental submissi9on documentation and updates agency data management systems as supplemental information is received. Provides both documented and verbal updates to Carrier Representatives and Account Coordinators, as appropriate, to ensure collaboration and efficiencies throughout the submission process.

• Produces and distributes timely and accurate submission management reports on a scheduled or upon request authorized basis to designated team members, RAIS management and RAIS member agencies as appropriate.

• Continually evaluate administrative submission processes and procedures and contributes suggestions for enhancements and/or adjustments to procedures to improve the delivery of commercial lines marketing and account placement services to RAIS member agencies.

• Provides backup support to other team members as required and consistently strives to improve knowledge and skills related to all commercial lines marketing and account placement processes and procedures.
